What Illinois COAs Need to Know About Meeting Requirements

Condominium associations are required by Illinois law to hold a certain number of meetings a year. The goal is not only to facilitate the proper maintenance and upkeep of the condo association and make decisions about pressing matters but also to ensure transparency and increase communication between owners (also called managers) to reduce conflict. What Condominium Association Meetings Are Required by Illinois Law?

Under the Illinois Common Interest Community Association Act, condominium associations must hold both board meetings of the board of directors or managers, and meetings of the unit owners, typically called membership meetings. The management must notify owners of both board and annual meetings and in both cases, the condominium association must take meeting minutes. 

Board Meetings

Condo associations must hold board meetings at least four times a year, which must be attended by a quorum of board members–usually a majority of the board.  All unit owners are invited and welcome to attend and they have the right to comment at board meetings. There are a few items that are usually discussed at these meetings, including an update on the condominium association’s financial situation, such as its financial reports, budget updates, and any details on assessments. Board meetings will additionally go over planned maintenance and repairs and any pending issues such as violations or disputes. The board may also make decisions on proposed changes at the meeting.

Annual Owner Meetings

At least once a year the condominium association must hold an annual meeting of its unit owners which must be attended by a quorum of all unit owners–usually twenty percent of all owners unless the condominium association documents specify otherwise. These are usually referred to either as "annual meetings" or "membership meetings." Condominium association staff such as management company representatives may attend as well. At the annual meeting, the board will provide the entire association with important information about condominium association matters including the annual budget, financial issues, and any updates on significant projects, and it may vote on new board members.
